HRIS integration

Also known as: HR system integration, user provisioning

HRIS integration connects your HR information system to your LMS so employee data flows between them automatically. New hires appear in the LMS with the right department, role, manager, and location, changes update on their own, and leavers are deactivated. That data is what lets the LMS assign the right training to the right people without anyone doing it by hand.

What gets synced

The usual fields are name, email, employee ID, department, job title, manager, location, start date, and employment status. Some integrations also send training results back to the HR system.

Keeping these fields current in the LMS is what makes a rule like "assign fire safety to everyone at the Tallinn warehouse" work automatically.

HRIS integration is different from single sign-on. SSO handles how people log in. HRIS integration keeps their account, role, and manager up to date.

Why it matters

Without integration, someone in HR creates and updates LMS users by hand, which is slow and error-prone. New hires start without their training assigned, and people who leave keep access.

With integration, onboarding training starts on day one, role changes trigger the right new training, and leavers lose access straight away.

How it is done

Common methods are a direct API connection, the SCIM standard for automatic account creation and removal, or a scheduled file export from the HR system. The right one depends on which HR system you use and what it supports.

Frequently asked questions

What is HRIS integration?

A connection between your HR system and your LMS that keeps employee data, such as role, department, and manager, in sync automatically.

Why integrate the LMS with the HR system?

So users are created, updated, and deactivated automatically, and training is assigned based on accurate role and location data instead of manual lists.

What data does an HRIS integration sync?

Typically name, email, employee ID, department, job title, manager, location, start date, and employment status. Some integrations also send training results back.

What is the difference between HRIS integration and SSO?

SSO controls how people sign in. HRIS integration controls who has an account and what their role, department, and manager are. Most companies use both: HR data decides what training people get, and SSO lets them reach it with their normal login.

How often does HR data sync to the LMS?

It depends on the method. API and SCIM connections can update within minutes, while file-based syncs usually run daily.
