Training audit trail

Also known as: Audit trail, training records

A training audit trail is the complete, dated record of what training each person was assigned, when they completed it, how they scored, and which certificates they hold. It is what you show an auditor, an inspector, or a regulator to prove that required training happened. A good audit trail is automatic, cannot be quietly edited, and can be pulled up in minutes.

What an audit trail contains

For each person and each piece of required training, the trail shows the assignment date, the deadline, the completion date, the score or result, and any certificate with its expiry. It also records changes, such as a deadline being extended, with the date and who made the change.

Together this answers the question every auditor asks: who needed this training, and can you prove they did it.

Why auditors and regulators ask for it

Regulated industries have to show, not just say, that people were trained. After an incident, a missing or incomplete record can matter as much as the training itself.

An audit trail that is dated and consistent is far more convincing than a spreadsheet updated by hand.

Problems with manual records

Sign-in sheets and spreadsheets go missing, get overwritten, and rarely record changes. Pulling them together for an audit takes days and still leaves gaps.

Manual records also make it hard to show history, such as proving a person was certified on a specific date in the past.

How an LMS keeps an audit trail

An LMS records every assignment, completion, score, and certificate automatically, with dates, as it happens. The record builds itself in the background and does not depend on anyone remembering to update it.

When an audit comes, you export an audit-ready report in one step.

Frequently asked questions

What is a training audit trail?

The complete, dated record of what training each person was assigned and completed, their results, and the certificates they hold, used to prove required training happened.

What should a training record include?

The assignment date, deadline, completion date, score or result, any certificate with its expiry, and a history of changes such as extended deadlines.

Why do auditors ask for training records?

Regulated organisations must prove that required training took place. The audit trail is that proof, and after an incident it is one of the first things requested.

How long should you keep training records?

It depends on the regulation and your industry. Many rules require records for several years. Check the requirements that apply to you and keep records at least that long.

How does an LMS create an audit trail?

It records every assignment, completion, score, and certificate automatically with dates, so the trail builds itself and can be exported as an audit-ready report.
